Program Information
Program Name: Cruina. Cruina allows family organizations to manage event registration and payment for their members. Our messaging service is used for account authentication via one-time passcodes (OTP) sent to your phone number or email address.
Who We Are
Cruina is a product of The Smith Syndicate. Cruina gives a family a private space to organize reunions and gatherings, register for events, share photos and recipes, keep a family directory, and remember relatives who have passed. This policy explains what information the app and website collect, how it is used, who else receives it, and what you can do about it.
Information We Collect
We collect only what the features of Cruina need. Here it is, in the groups the app stores use.

Who Can See Your Information
Cruina is invite-only. What you share is visible to the members of the family organization it was shared in. It is not shown to other families, and there is no public directory.
•
Members of your family can see the feed, albums, recipes, memorials, and directory entries in that family.
•
In the directory, a phone number, email address, or home address can be marked private. A private item is hidden from other members. It stays visible to the person it belongs to, to the member who added the entry while it belongs to nobody, and to the family's owners and administrators.
•
A family's owners and administrators can also see registrations and payments for their events, and they can download the family directory as a spreadsheet. Private items are left blank in that download.
•
Members can see the first names of the people attending an event, grouped by family branch.
•
Each event can also have a public page. Anyone with its link can see the event name, description, dates, location, and prices.
•
A small number of people at Cruina can look up accounts to give support. They see your name, email address, the last four digits of your phone number, which families you belong to, and when you were last active.
Photos and videos are stored at web addresses that are very hard to guess, but they are not protected by a password. Anyone who has the link to a photo or video can view it, even if they are not a member of your family. A link stays valid until the file is deleted, so please be careful about sharing links outside your family.
Relatives Without an Account
Members can add directory entries for relatives who do not have an account, including children and people who have passed away. An entry can include a name, dates of birth and death, relationship, profession, hobbies, contact details, and a photo.
While an entry belongs to nobody, the member who added it and the owners and administrators of the family can correct it or delete it. If the person later joins and claims the entry, they can correct it themselves. An entry that represents a member with an account cannot be deleted from the directory while that account exists.
If information about you was added by someone else and you want it corrected or removed, contact support@cruina.com and tell us which family it is in. You can also ask a family administrator to change it.
Children
A member can add a child to the family directory and can register a child for an event. For a child this can include a name, date of birth, relationship, photo, dietary information, and t-shirt size. That information is handled the same way as any other directory entry, as described in this policy. If you would like information about a child corrected or removed, contact support@cruina.com.
Services That Help Us Run Cruina
We do not sell, rent, or trade your personal information, and we do not use it for advertising. Cruina itself contains no advertising and no analytics or tracking tools, and we do not track you across other apps or websites. We share information only with the services below, and only as needed to provide Cruina.
•
Clerk handles sign-in. It receives your email address and phone number and sends the one-time codes.
•
Stripe processes payments and payouts. Your card details go directly to Stripe and never reach our servers. Stripe's own privacy policy applies to what it collects. People who collect money for an event set up a Stripe account, and Stripe collects the identity and bank details it requires for that.
•
Resend delivers the emails we send. It receives the recipient's email address and the content of the email.
•
Google Cloud hosts Cruina, its database, and the storage for uploaded photos and videos.
•
Google Places suggests addresses as you type in address fields in the app. The text you type is sent to Google.
•
OpenStreetMap's Nominatim service finds map positions. When a home address is saved in the directory, the address text is sent to it so the family can be shown on the directory map. On the website, map tiles load from OpenStreetMap, so it receives the area being viewed and the viewer's IP address.
•
Google Fonts supplies fonts for the printable memorial card, so your browser contacts Google when you print one.
Each of these providers has its own privacy policy that governs how it handles information. We may also disclose information when the law requires it.
Email Messaging Terms
Message Frequency: You will receive emails when there is activity in your family space or on your account, such as one-time sign-in codes, receipts, event reminders, and the weekly family digest. We send no advertising emails.
Opt-Out Instructions: In your notification settings you can switch off emails for most kinds of updates, such as event announcements, comments, photos, birthdays, and the weekly digest. Receipts, refunds, and payment and account alerts cannot be switched off, and sign-in codes are required to sign in. Emails that a family organizer sends to the family include an unsubscribe link. You can also contact us at support@cruina.com.
Help: For assistance, contact us using the information below.
Deleting Your Account
You can delete your account at any time with Delete Account in the app. If you are the only owner of a family organization, you must first transfer ownership or close that family.
When you delete your account:
•
Your name, email address, phone number, profile photo, and time zone are removed from your account, and the photo file is deleted.
•
Your dietary preference, dietary notes, and t-shirt size are removed from your account and from your own event registrations. Details you entered for other people you registered, such as your children, stay with the family's registration.
•
Your sign-in is deleted and you are signed out everywhere.
•
You are removed from every family you belonged to.
•
The directory entry that represents you is removed. Where another member created the entry about you, it stays as that family's record and is unlinked from your account.
What is not removed:
•
Payment, refund, and registration records, including the names on registrations, are kept for financial recordkeeping. We keep them for at least seven years.
•
A record of important actions is kept for the same reason.
•
Posts, comments, recipes, and photos you shared stay with the family, without your name or photo attached. You can delete your own posts before you delete your account.
•
Directory entries you created about other people stay with the family. Memories you wrote on a memorial keep the name you typed on them.
Cruina does not currently offer a way to download a copy of your personal information. To ask about your information, contact support@cruina.com.
Data Security
We use measures to protect your information, including encrypted connections and sign-in by one-time code instead of passwords. Card details are processed by Stripe and are not stored on our servers. No system is perfectly secure, so we cannot guarantee absolute security.
